Lost and Found - new procedures!

New procedure #1 - White routing slips


As the procedure stands right now, the workleader gets tipped off that an item has been logged by a different unit when the item has a white slip taped to it. The white slip signals that the workleader only has to change the item location to Doe South and affix a sticker, but not create a new item record.

The problem is, we don't always effectively communicate whether or not something has been logged when it comes from one of our very own Info Desks!

For consistency and simplicity, I've printed "Lost and Found Routing Slips" and placed them in the phone drawers at Doe North and Moffitt. When an item is returned to you, you should do one of two things: 1) Ask the 4th person to immediately come take it to get logged at Doe South, or 2) Log it at your location, attach a routing slip, and bring it over to
Doe South at your/the 4th's convenience.


Here's what I don't want:

Patron: I lost my ring half an hour ago. Has anyone turned it in?

Infodesker: It's not in our database yet, but it could very well be sitting on the Doe North desk or the Moffitt desk. Good luck with that!



Remember, the white slip will signal to the workleader that the item has been logged already. The workleader will change the location in the database, remove the white slip, and place a sticker on the item instead. White slips are for routing only and should not follow the item into the Lost and Found closet.


New procedure #2 - Claimed By field


When a patron claims their item, write down the patron's name AND how your verified the patron's identity in the Claimed By field. It should look like the example to the right. Any time a patron claims an item, they need to provide us with some form of ID. Check the ID, write down the patron's name, and write how you verified their name in parenthesis.

You can use the following shortcuts:
DL = Driver's License
PP = Passport
Cal1 = Cal1 card

What if the patron is claiming their wallet, which holds their ID?

A wallet is just about the worst thing to give to the wrong patron, so we may need to get creative if they legitimately don't have another form of ID. A great way to verify is to ask what address will be on the driver's license (you can write "address" as the verification method). As a last resort, you can use the picture on the license to verify, but make sure you are confident in the resemblance.
