Issuing Day Passes After 8pm

From 8pm to closing time, Info Desk Workleaders may issue Day Passes to UCB students/faculty/staff who do not have their Cal ID card, but DO have government issued photo ID.


As you know from the previous blog post, we are to begin ID-checking patrons at the Doe North and Doe South entrances after 8pm (starting 1/31/22). During this time, only patrons with Cal 1 ID cards or yellow library cards may enter Doe Library. That said...


If an active UC Berkeley student/faculty/staff does not have their Cal1 ID card and wants to enter Doe after 8pm, you must do the following:

  • Ask "Do you have government issued photo ID with you, such as a passport or a driver's license?"
    • If they DON'T, then they will not be allowed to enter. Full Stop.
    • If they DO, then proceed to the steps below.
  • Direct the patron to stand and wait beside the area where we let patrons leave their food/drinks.
  • Call a Workleader (WL) over to issue the patron a Day Pass. Note: only WLs have permission to write Day Passes.
    • If there is a WL present at your location-- great! They can write a Day Pass for the patron on the spot.
    • If there is not a WL present at your location, use the phone to call the other Doe Info Desk location and request that they send a WL over to issue the pass. If they don't answer the phone, try reaching out via Chat or Radio.
    • If there are no Info Desk WLs available, then call Circulation to see if they can send a Circ WL over to issue the pass. You can find the number for Circ on the Phone Sheet.

After the Day Pass is issued by the WL:

  • If that same patron exits and then re-enters the building, you must ask to see their government issued ID again to cross reference it with the Day Pass issued by the WL. If their Day Pass is currently at another entrance, you'll have to call that location to confirm that the patron was issued a Day Pass.
  • At closing, gather any remaining filled-out Day Passes and bring them to Doe South. Place them in the blue folder next to the Info Desk Handbook labeled "Day Passes."


Instructions for Workleaders on Writing Day Passes


STEP ONE: Log into Alma. Remember, to sign into Alma, you will need to use incognito mode or pull up a different internet browser (such as Chrome, FireFox, Microsoft Edge, etc.).

STEP TWO: Click "Fulfillment" on the bar to the left. Then select "Manage Patron Services."

STEP THREE: Type in the patron's ID number, first name, or last name in the Look-Up box (next to the magnifying glass). Their name should be listed in the dropdown menu that appears. Select the name and click "Go."


STEP FOUR: Once in the patron's record, you'll want to confirm three things: their active status, ID number, and user group.

Active Status: a pop-up message that reads "BLOCKS - Patrons card has expired" will appear if the person's account is expired.

  • If you see this message, do NOT issue the Day Pass. Let the patron know to visit the Privileges' Desk during open hours.
  • If you do not see this message, then you may proceed.
Note: disregard any message regarding fines or notices of an active balance; patrons can still get a Day Pass even if they owe money to the library!

 

ID Number: find the ID number listed on the right hand side beneath their Last Name, First Name. This is the number you'll need to fill in on the Day Pass.

User Group: find the User Group listed beneath the ID number. Only patrons with the following User Groups are eligible for a Day Pass:
  • Faculty/Academic Staff
  • Library Staff
  • Non-Academic Staff
  • Graduate Student
  • Undergraduate
  • UC Extension Faculty
  • UC Extension Student
  • UCB Visiting Scholar
  • UCB Post-doc
  • UCB Academic Dept Affiliate
  • Undergraduate - UCB SLE
If the patron does not belong to one of the above User Groups, then do NOT issue the Day Pass. Let the patron know to visit the Privileges' Desk during open hours.

STEP FIVE: Grab a blank yellow Day Pass. Write in today's date, the patron's name, their ID number, and your own name. Note: this pass will work for any of the above User Groups, even though it specifically says "student." Stamp the pass.

STEP SIX: Ask the patron, "Do you plan to visit the Main Stacks tonight?"
  • If no-- keep the Day Pass in the Issued Passes box at the Info Desk. Advise them to use this same entrance should they need to re-enter the building at any point this evening. This makes it easier for us, since every time they re-enter the Info Desk worker will need to see their government issued ID to cross reference it with the Day Pass.
  • If yes-- give them the Day Pass and let them know to hand it to the Circulation worker at the entrance to the Main Stacks.
And finally, at closing, make sure any remaining filled-out Day Passes are brought to Doe South. Put these in the blue folder next to the Info Desk Handbook labeled "Day Passes."
