November 1st - "CalTime in full effect BOYYEEEEeeeeeee!!"

You have heard the hype for the past month, received plenty of confusing emails from Campus HR about how this might work and (hopefully) are excited about very soon starting to get paid every two weeks instead of once a month.

The principal change is the new time clock which will appear in the same location as the present one, sometime overnight before Saturday, November 1st.  Everyone will need to follow these procedures for clocking in/out as soon as tomorrow morning!

NOTE:  Many of you were sent campus emails stating that student employees would be able to clock in by physical time clock (yes) and/or logging in to Caltime online (NO!).  Let me be crystal clear, you are NOT allowed to clock in via the web, all of your punches must be ratified locally via the physical time clock, in-person.  The system does track IP addresses, and anyone caught clocking-in from the web will be dismissed.  Furthermore, you do not need to approve your own time cards as the email alludes, your time card supervisors will be doing that on your behalf; tinkering with your approvals can cause inconsistencies in payment and should be avoided on your end.

While the new time clock will look a bit different, it operates very similarly to the current time clock.  The crucial difference will is the need to press the "TRANSFER" button (see below) in advance of SWIPING your card, which will bring up a menu of possible jobs from which you will select to clock-in.


Once you have swiped through, you will be given a menu of jobs to select from as seen below.*  The ONLY "job" should be selecting is "LIB-ACCS-HARRING/////" this is the basic pay rate, every worker option.  The 2nd choice suffixed "-L//////" is the workleader rate which I will be assigning manually when reviewing your punches, you are not authorized to choose this option, if you do regularly, we will be having some talks.

*  If you work at another campus location, you will likely have your other supervisor's name listed in the "jobs" menu as well, this is not relevant for your work with the infodesks; but may be when you are working for the other employer, clocking in however you are instructed in their respective unit.


After you have selected the job code, "LIB-ACCS-GRANT/////" you will be confirmed as "accepted" and are all ready to work.  Punching out is as simple as SWIPING OUT (you do NOT need to hit "transfer" button to clock out.)


The workflow terminal differences are minor, but absolutely crucial you are/remain fastidious about your time card swipes.  Now that the pay periods are abbreviated, managers will need to approve punches for payroll with very very short time-frames, this means it is incumbent upon student employees to monitor and make sure all punches are done right so there will be no problems with your payroll for that period.  

If everyone does what they are assigned to do properly, we should experience no problems...
and get paid twice as often!
